Clearly defined expectations are the grease that keeps a team of virtual assistants working like a well-oiled machine. Without expectations, even the most well intentioned staffer is likely to be left floundering. They’ll be unhappy, and you’ll probably be unhappy with the work they do for you.
When you decide that it’s time to hire a team of virtual assistants, the very first thing you should do is decide what jobs you want them to do for you. Think about the different roles that you need to fill – social marketer, ghost writer, bookkeeper, and so on. In order for a team of VA’s to do a good job, they have to know what’s expected of them.
Once your team of VA’s get to work, it’s important that you have reasonable expectations of what they can do for you, especially at the beginning. None of your VA’s are clones of you and they will do things differently than you would.
For example, if a VA is responsible for writing blog entries, a task you normally do, you’ll have to accept that they have their own writing style and approach to writing about a topic. As long as their writing is grammatically correct and free of spelling errors, and it’s written in an engaging way, you just need to let go and allow them do their job. Sometimes if we have unreasonably high expectations for ourselves we also put unreasonable demands on the people who work for us.
Ongoing feedback is another important part of the client/VA relationship. If at any time things start to get off track or you’re not happy with a team member’s performance, you need to talk to them or their manager about it. If they don’t know that you’re not happy, they’ll assume that you’re satisfied with the work they are doing and they won’t try to do things differently. The whole point of hiring VA’s is to free up your time to do more critical work. You’ve accomplished nothing if you have to redo work that your VA’s are supposed to do because it’s not up to your standards.
